Policies & Procedures

Scheduling
Scheduling should be done online or via email at schedule@cafephysique.com, and appointments can be made up to 2 months in advance on a first-come, first-served basis.

Payments
Payments for any and all services should be paid online at www.cafephysique.com or via phone at (404) 444-2857 and are due at least 48 hours prior to scheduled service. Discounts to rates apply only to packages that are pre-paid in full.

Unless prior arrangements have been made with management, payments should not be given directly to trainers or dietitians.  There will be a $30 fee assessed for all checks returned unpaid for any reason.

Expiration Dates
10-session packages expire 90 days from the date of original purchase. 25-session packages expire 120 days from the date of original purchase. Gift certificates expire 3 months from the date of original purchase.

Scheduling is the client’s responsibility, so please avoid losing sessions by getting your sessions scheduled within the time allotted for these packages.

Refunds
Café Physique does not issue refunds for unused sessions. Sessions that are not conducted prior to the expiration date are considered forfeited.

Café Physique reserves the right to terminate contracts for packages in its sole discretion. In case of any such termination, Café Physique will refund any unused funds.

Cancellation Policy
Cafe Physique trainers and consultants work on a scheduled appointment basis. Because your appointment time has been reserved especially for you, we require 24-hours notice for when canceling an appointment. Given proper notice, you are free to reschedule with no charge. Appointments canceled with less than 24-hours notice are charged at the full non-refundable price.

Rescheduling
Appointments canceled with at least 24 hours notice may be rescheduled for a time that is convenient for the client and trainer or nutritionist at no charge. Your program may be discontinued upon notice for excessive missed appointments without advanced notice.

Testing & Evaluation
Before beginning a training program, all clients will undergo initial testing to determine current physical fitness status. The initial evaluation will be used as a baseline for future evaluations and as input in the development of a customized fitness program. The fitness assessment will include review of the Client Health & Exercise History Questionnaire and goal setting, but will not include a personalized workout.

Some or all of the following will be tested:

  • Cardiovascular fitness
  • Muscular strength/endurance
  • Body composition
  • Flexibility

Each and every client has the option to not participate in the assessment or stop the assessment at any time due to physical limitations, exhaustion, illness or any other reason whether apparent or unapparent to the trainer.

Fitness assessments, evaluations, and testing are in no way intended to replace medical tests or any services typically rendered by a physician or other medical authority.

Training Sessions

  • Clients must be prepared with a towel, water bottle, exercise attire and proper athletic shoes.
  • Each session will be 50 minutes consisting of warm-up (during which time the trainer will set up), training and cool-down.
  • Trainers will make every effort to start and end sessions on time, however please allow a 15 minute grace period for traffic delays and unforeseen circumstances.

Pre/Post-Natal Requirements
Clients are required to obtain a doctor’s medical release to continue or begin a prenatal training program as well as a postnatal medical release to return to an exercise program.

Heart Rate Monitors
Prenatal clients are required to wear a heart rate monitor during training sessions unless otherwise stated in writing by their physician. Café Physique recommends that all other clients wear a Polar heart rate monitor while training. See your trainer for specific purchase locations.
